AI built into how the company works

AI implementation

We find the places where AI saves real time in your company, build the system, connect it to the tools you already use and keep it running. Typical jobs are an internal assistant that answers from your own documents, invoice and document handling, and agents that take over repeatable casework.

Where we start

We start by mapping the processes, before anyone picks a tool. We sit with the people who do the work, measure how long each step takes and choose the one or two cases where AI gives a clear gain at low risk. For automation inside marketing and sales, see AI marketing automation.

  • Hours back in the departments that handle documents, cases and enquiries.
  • Answers drawn from your own documents, with a source the employee can check.
  • Systems your IT and management can audit: who has access, what was asked and what the AI did.

What you get

Each of these is a document or a setup your team can use, handed over in order of priority.

  • Process mapping

Where the time goes today, and which steps AI can take over, ranked by gain and risk.

  • Solution design

Which models, data sources and integrations the system uses, and where a person approves the result.

  • Build and integration

The system connected to your CRM, e-mail, helpdesk, ERP or document storage.

  • Testing on real cases

We test on your own documents and cases before anything goes live, and count the errors we find.

  • Training and handover

Short training for the people who use the system, and documentation for the person who owns it.

  • Operations and maintenance

Monitoring, updates when models or your tools change, and a regular review of what to build next.

Also covered

  • Internal assistants on your own documents
  • AI agents for repeatable casework
  • Invoice and document processing
  • Helpdesk triage and draft replies
  • Lead qualification and routing into the CRM
  • Automated reports from your systems
  • Integrations with CRM, e-mail, helpdesk and ERP
  • Access control and logging
  • Hosting and processing in the EU when required
  • Operations, monitoring and maintenance
How it works

How an engagement runs

We work in short iterations and keep a log of what we tested, so you can follow every decision.

  1. Step 1: Map the processes

We go through the work in the departments that want help, measure how long the steps take and look at the data a system would need.

    • Interviews with the people who do the work
    • An overview of systems, data and access
    • A ranked list of use cases
  2. Step 2: Build, integrate and test

We build the first system on your real data, connect it to the tools in use and test it on real cases together with the people who will use it.

    • Assistants, agents and document processing
    • Integrations through APIs and existing connectors
    • Approval steps where a person has to decide
  3. Step 3: Train, run and improve

We train the users, hand over the documentation and take care of operations: monitoring, error handling and updates.

    • Training for users and system owners
    • Logging and monitoring
    • Regular reviews and further development

How we handle your data

An AI system is only as safe as the access around it. We agree with you which data sources the system may read, and the assistant answers each user only from documents that person already has access to.

Where data is stored and processed is decided with you. When processing has to stay in the EU, we choose providers and hosting regions that allow it and document the setup. We use business agreements under which your data is not used to train the provider’s models, and we check those terms for each provider before we use it.

Every request and every action the system takes is logged, so you can see afterwards what was asked, which sources were used and what the system did. Where a mistake would be costly, such as paying an invoice or replying to a complaint, a person approves the step before it happens.

Questions we often get

If your question is not here, ask us directly.

How is this different from your AI marketing automation?

AI marketing automation covers workflows the marketing and sales team owns: campaigns, content, lead follow-up and reporting. AI implementation is for the rest of the company, such as finance, customer service, operations and internal knowledge, and often goes deeper into systems like the ERP or the helpdesk.

Do we need our own developers?

No. We build and run the system. It helps to have someone on your side who owns the process and can answer questions about it.

Which systems can you connect to?

Most systems with an API or an established connector: common CRMs, e-mail and calendar, helpdesk tools, accounting and ERP systems, SharePoint and Google Drive. If a system has no API, we look at other routes, such as export files, and tell you if it cannot be done reliably.

Can our data stay in the EU?

Yes, when you need it to. We choose providers and hosting regions that keep processing in the EU, and document the setup so your data protection officer can review it.

What happens when the AI gets something wrong?

It will sometimes, so we design for it. Answers show their sources, uncertain cases go to a person, and steps with consequences need approval. We track errors during testing and in operation, and adjust the system.

Will our staff know how to use it?

We train the users as part of the handover. If you want the wider team to get better at AI in their daily work as well, see AI training for teams.

How is it priced?

The first project is quoted in euros after the process mapping, and operations run under a separate agreement. You see the full cost before anything starts.
